RECEPTIONIST, ADMINISTRATIVE OFFICE ASSISTANT
Job Description

Job Summary:
This important front office position in our Mississauga office is ideal for a person who is bright and cheerful at all times and who can warmly welcome our many important suppliers and visitors from around the world.  In addition to normal receptionist duties, this is a multi-tasking position dealing with many varied requests, assignments and duties as required.

Essential Duties and Responsibilities:
Receptionist
Reliable and punctual, job hours are 9:00 am to 5:00 pm, Monday to Friday;
Answer phones, send & receive faxes, distribute mail, send weekly package to Montreal;
Make sure that all boardrooms are ready at all times for meetings;
Order lunches for visiting suppliers – set up and clean up;
Invoicing – general
Purolator, DHL, UPS customs clearance, Straight Away ;
Staples ;
Waste Management;
Invoicing – LCBO
In-store tastings, LTOs, Air Miles, shelf extender, end aisle displays, mini-thematic, promotional placements (data also entered in the Cellar spend plan);
Image Program invoices;
TSR (Trade Stock Refund) processing;
Customs Clearance
Coordination with all provincial offices;
Coordination with all suppliers;
Coordination with Brand Managers;
Coordination with couriers;
Other Administrative Duties:
Process Waybills;
Order office supplies;
Update Price Vault – freight rate, FOB ex-cellars, bottle price;
Kitchen
Keeping the kitchen and boardrooms clean and presentable, checked at the beginning of the day and monitored throughout the day. Filling the dishwasher at the end of the day and turning it on.  Emptying the dishwasher first thing in the morning the following day.
Job Requirements:
Experience: Previous receptionist/administrative assistant experience required.
Skills: Excellent phone skills, managing calls, maintaining basic telephone systems.  Good working knowledge of Outlook, Word, Excel and other business applications.  Courier and shipping system knowledge.
Physical: Must be physically fit and able to carry packages up to 15 kilograms, pack boxes required for shipping, receive items from couriers and shippers, able to sit for periods of time exceeding 1 hour.
