Job Description

Office Administrator – Property Administration

We are looking for a qualified Office Administrator to work for one of our clients in the South end of Ottawa. This is a permanent opportunity to start at 40,000

Start date: February 19, 2018

Shift: 8am – 5pm – 40 hour work week, Monday – Friday

List of responsibilities

* Liaison to Tenants (Phones, Concerns, Questions, etc)
* Prepare “Welcome Packages” for new owners / residents
* Liaison to Site Staff (Prepare Work Orders related to Repair Requests)
* Reserve Guest Suites, Party Room and Elevators for Tenants.
* Maintains an updated calendar of events for the party room
* Update Intercom Panel for Properties
* Prepare and Deliver Notices (Resident, Special Projects or Common Area)
* Assist with Accounts Receivables (Receipts, Income Tax Receipt, Processing Deposits, etc).
* Assist with filing for Property Administrators
* Oversee Supply Orders and Coffee Orders for the Property Management Office.
* Prepare and Coordinate On Call Schedule (Monthly //Superintendents)
* Assist Property Administrators in daily mail runs to Head Office, or the Properties
* Assist Property Manager with day to day tasks as required
*Compose routine correspondence / emails or notices to all residents and owners regarding property updates and other events
*Ordering supplies and other office requirements
* Other duties as required.


-2 – 3 years experience in Property Administration.
-High knowledge in MS office application – MS Word, Excel and Outlook
-Ability to learn the FOB System
-Clear and concise communications skills. Knowledge in French is an asset
-Ability to work in a fast paced, multi faceted environment
-Amazing Customer Service Skills
